Tax Pilot is live. Excited to share what we’ve been working on.

Tax Pilot
Speak with the team

Payroll tax, filed and paid everywhere you owe it.

Your payroll system calculates the tax. Pay and File schedules, files and pays it in every jurisdiction you file in, including locals. Every return comes back with the agency’s acknowledgment and every payment is tracked out of the account, so your team works the exceptions, not the calendar.

Calculating the tax is the easy part.

Most tax engines stop at the number. Pay and File does the four jobs that come after it.

SCHEDULE

Knowing what’s due, and when

Every agency sets its own remittance schedule, and a wrong calendar earns penalties even when the math is right.

PAY

Moving the money

Every agency payment on its due date, only after the company’s impound has cleared.

PREPARE

Getting the return right

Wage reports, liabilities and remittances agree before the return goes out, zero returns included.

FILE

Getting it to each agency

Each agency’s own format, filed, with the acknowledgment posted back to the company record.

Your daily flow, from finalized payroll to filed return.

What runs every day after payroll finalizes. Open any card for the detail.

Payroll data

Payroll comes in at your end of day

Employee-level detail, with no file to export.

Details

The integration pulls employee-level wage and tax detail at the end-of-day time you set, covering every payroll finalized that day. No daily payroll file to export and import; a file drop stays as a backup.

How the integration works →
Validation

Every record checked and posted

Codes that don’t map are held, not dropped.

Details

Tax code mapping, rates and taxable wages are checked on every record. Clean records post to liability, and any code that doesn’t map goes to the unmapped queue.

Daily variance

Variances flagged daily

Not in a quarterly reconciliation report.

Details

Payroll is compared with posted liabilities by tax code and rate, at the company and employee level, every day instead of in a quarterly reconciliation report.

What a variance looks like →
Automated NSF handling

Impounds clear before payments go

A returned debit holds the company’s agency payments.

Details

A returned debit flags the company as NSF and holds their agency payments until the funds are recollected.

Agency payments

Agencies paid on their due dates

By ACH debit, ACH credit or paper check, on each agency’s own schedule.

Details

Pay and File supports every way agencies take payment: ACH debit, ACH credit and paper check. Each payment is tracked out of the account and matched back in the daily bank reconciliation.

Reconciliation

The platform auto-reconciles

Only the exceptions reach your queue.

Details

Bank activity auto-matches to impounds and agency payments every day. Only what doesn’t match goes to the reconciliation exception queue.

How reconciliation works →
Quarter end

Quarter end runs from a work queue

Zero returns included, in each agency’s own format.

Details

Returns queue up by company and form, zero returns included, each in its agency’s own format. Approving a company’s wage reports moves their filings to Ready, and acknowledgments and rejections post back to the company record.

Your team’s whole day runs from one screen.

The home screen lays the day out in order, from approving payroll to reconciling the bank, and puts whatever is waiting on your team at the top.

Common questions.

Does Pay and File calculate payroll taxes?

No. Your payroll system calculates them. Pay and File takes the calculated, employee-level detail from each payroll, checks the tax codes, rates and taxable wages on every record, then schedules, pays and files.

Which jurisdictions do you file and pay in?

Federal, state and local, including the city, county and school district taxes that come with where people live and work. During setup, Pay and File maps every jurisdiction your payroll already touches and confirms each one is ready before go-live, so a gap shows up during setup rather than at quarter end. Each agency is paid on its own schedule.

Where does the company’s money sit?

Where it sits today, if you want. Impounds can keep landing in your own bank account, with Pay and File seeing the activity to reconcile it and catch returns. Or collection can run through our money-movement integration. Either way, agency payments only release once the impound has cleared the bank, and every movement is reconciled daily. Collection can also be switched off for a company that funds by wire, and Pay and File still schedules, pays and files.

What happens when a company NSFs?

The company is flagged as NSF and their pending agency payments hold, so nothing is remitted against money that came back. The held payments release once the funds clear, and your team can release a hold early, for example when a company wires the money.

What about agencies that still want paper?

They get paper. Agency payments go by ACH debit, ACH credit or check, whichever each agency takes. Paper and hand-keyed returns sit in the same quarter-end queue as everything else, assigned to someone on your team, marked filed and kept with their proof, so nothing lives in a side spreadsheet.

What if an agency payment comes back or a return is rejected?

Both land in a queue with the reason attached. A returned agency payment goes to the exception queue to be reviewed and resent; there’s no blind automatic retry. A rejected return comes back with the agency’s reason, gets fixed and is resubmitted, and the acknowledgment posts to the company record when it’s accepted.

How are voids and correcting checks handled?

The void carries the original check date and the correcting check carries the current one. Both records come across and net against each other, so a straight swap creates no new collection or remittance. If the void’s taxes were already paid to the agency, the amount sits as a refund due to the company until it’s recovered; if not, it sits as a credit.

What if a company is missing a state or local account number?

Pay and File flags the missing ID when the payroll comes in. The liability is held rather than dropped and stays pending until the ID arrives, so nothing is filed or paid under the wrong account.

How do we switch from MasterTax or another tax engine?

Pay and File connects to your payroll system and loads year-to-date liabilities, then ties each company out against your current system’s deposit history before anything is filed. Most teams cut over at the start of a quarter or a year. Returns already filed stay where they were filed.

See it against your own data.

The fastest way to judge this is your own numbers. We pull a recent payroll in through the API, produce the remittance schedule, and tie it to the penny against what your current system produced. No commitment.
